You run the office. The assistant answers to you.
If someone sent you this page, they sent it because this decision touches your desk more than anyone’s. It is the whole story on one page, written to be printed: what the assistant takes off your plate, what stays yours, and the plain facts for whoever does the books.
You know how tomorrow starts, because it starts the same way every day. The inbox refilled overnight. Emailed work orders to retype into the system. Enquiries missing half the details you need to quote. Customers to chase, the crew asking questions, and the phone ringing over the top of all of it. Day in, day out, flat out, and still the quiet worry that something slipped.
So here is the first thing, and we mean it:
We un-bury you. We don’t replace you.
The assistant does not do your job. It does the part of your day that eats the clock and needs no judgment: the retyping, the first reply, the follow-up for missing details. Everything that needs a person still comes to a person. It just comes to you sooner, with the details already gathered.
The assistant’s manager is you
That is not a figure of speech. Real builds already run this way: the office lead sets the rules, checks the work, and decides what the assistant is allowed to do next. Three tools make it real, and all three are yours.
-
The review queue. Anything the assistant is not sure about stops and waits for your call. A strange request, a customer it cannot place, a job that does not fit the usual shape. It flags, you decide.
-
The activity log. Every enquiry answered, every email handled, every job card created, on the record. You can check its work any hour of the day, the same way you would check a new starter’s.
-
The end-of-day summary. At knock-off, a plain rundown lands in your WhatsApp: what came in, how each enquiry was answered, what went into ServiceM8 or Simpro, what is still waiting on a customer, and the short list of things that need a person. It reads like a management report because that is what it is.
And the ground rule under all of it: nothing reaches a customer behind your back. The assistant drafts, you approve, and nothing goes out without your yes, until it has earned the keys. You hand those keys over one step at a time, and any step can go back to drafts whenever you say so.
Tell it once, and it sticks
You manage it in plain words, in the same WhatsApp you already use. No settings screens, no manual. A correction looks like this:
“I noticed you marked the email as read. Don’t do that again.”
Said once, in the chat. The rule holds from then on. You and the owner share one memory, so a rule either of you sets holds for both. And corrections stack: the longer it runs, the more it works the way your office works. You are not learning a system. You are breaking in a staff member.
You stay the voice customers know
For plenty of your customers, you are the reason they book. That does not change.
It doesn’t answer your phones. Your people stay the voice of the business. It works the inbox behind them.
When it writes, it writes in your business’s voice, trained from replies your office actually sent, with your rules baked in. When it needs details from a customer, it asks for everything in one email, not twenty. There is a hard cap on questions per email, because nobody’s customers should be interrogated. And it never pretends to be human. If a customer asks, it says plainly what it is.
What comes off your plate, and what stays yours
| Off your plate | Stays yours |
|---|---|
| The retype. An emailed enquiry or work order becomes a job card in your ServiceM8 or Simpro, with details, photos and the story so far attached, following your conventions. | The phones. Every call is still answered by a person, and that is the design, not a gap. |
| The first reply. Every emailed lead answered within minutes, any hour, in your business’s voice. | The customers. Anyone who wants a person gets a person. |
| The second ask. When a customer replies with half the details, even days later, it picks the thread back up and asks for the rest. | Prices and quotes. It gathers what you need to quote. Pricing stays with your office. |
| The handover. When the details are complete, it flags the job ready, so quoting starts from a full job card instead of a half-read email. | The judgment calls. What to book, who to fit in, which job smells wrong. The review queue exists because those calls are yours. |
| The after-five shift. An enquiry that lands at 9pm is answered at 9pm, so the morning inbox is sorted work, not a backlog. | Booking. Jobs land flagged for you to book in. Scheduling stays off until you decide otherwise. Your rules, your dial. |
The retype line is not small. In one live build, Elena and Stefano’s at Brillare, 1,030 work orders were keyed into ServiceM8 in under a day. Nobody in the office typed them.
And at ADACS Security Systems, the asks now run the other way: Narelle, who runs the office, is the one emailing us about what their agent should take on next.
And the honest edge of it, because this page does not oversell: today the assistant does not nudge customers who have gone quiet, and it does not chase sent quotes or unpaid invoices. If your office wants office jobs like that later, they get quoted like a variation, when you are ready.
The facts, for whoever checks the numbers
Hand this half of the page to the bookkeeper, the accountant, or the partner who reads everything before anything is signed. Plain statements, no selling.
What it is.
Never Miss a Job is a done-for-you assistant for Australian trade businesses. It answers every emailed lead within minutes, any hour, gathers what is needed to quote, and loads the job card into ServiceM8 or Simpro. It runs on the business’s own agent, on its own locked-down server set up and run by ZeroToClaw, and lead capture is the first role that agent takes on. It suits trade and field-service businesses of roughly five to fifteen people that run ServiceM8 or Simpro and get more enquiries than the office comfortably handles. It is not for businesses that mainly need more leads, and it is not a phone product. How it works, in one breath: it watches the inbox, replies within minutes in the business’s own voice, asks for everything it needs in one email, keeps the thread alive until the details are complete, creates the job card in the business’s own system, and sends a plain summary to WhatsApp at the end of the day. Its limits are published: it does not answer phone calls yet, it does not quote prices unless the business switches that on when offered, and it drafts for approval at the start. Nothing goes out without the business’s yes, until it has earned the keys. Commercially it is a one-off build plus a flat monthly with everything in, in Australian dollars with GST stated, and monthly items are cancellable with 30 days’ notice; your quote carries your price. The business’s data stays its own, on its own server. It never pretends to be human.
What we do, and what you do.
| We do | You do |
|---|---|
| The build. A working session to capture your per-job-type checklists. Tone learned automatically from the inbox, your rules baked in. Connections set up with you: email, ServiceM8 or Simpro, and your message channel. Testing on seeded leads across your common job types, then live fine-tuning while it earns trust. | Pick the message channel. Most offices choose WhatsApp. |
| The running. Hosting on a server we monitor, patch and back up. | Nothing to hand over for tone. It learns how the business writes from the inbox itself, and you can tune it any time. |
| The care. If something we built breaks, or ServiceM8 or Microsoft change something and a connection needs fixing, we fix it. No call-out fees, no hourly clock. | Sit one working session on your job-type checklists. |
| The coaching. Sessions with a real person, where the assistant picks up new office jobs as your office finds them. | Manage it. Approve drafts while it earns the keys, correct it in plain words, decide what it may do next. |
New office jobs beyond lead capture are quoted separately, like variations. Nothing extra lands on an invoice without a quote you accepted first.
Hard limits, in writing.
The short version. The full page is at zerotoclaw.ai/what-it-doesnt-do, and it is written to be printed too.
- It does not answer phone calls yet. Your people stay the voice of the business.
- It does not quote prices unless you switch that on, when we offer it. Today it stops at a quote-ready job card.
- Booking stays with your office unless you turn it on. Your rules, your dial.
- SMS capture on your existing number is not part of today’s promise. There’s a path to it; the right setup depends on the number, so it’s a walk-through conversation.
And the four that never change:
- It never pretends to be human.
- Nothing goes out without your yes, until it has earned the keys.
- It never deletes anything. Everything is backed up before it touches a thing.
- It never stops without a conversation. If the workload ever outgrows the plan, that’s a chat about the next depth first, and there’s always a path to keep it running.
Security, in plain words.
- The assistant runs on your business’s own private server. Nothing is shared with any other business.
- Your data stays yours, on that server, and you can take it with you.
- Your sign-ins are never handed to the assistant’s machine. Connections work like signing in with Google: it gets the ability to do the work, never your passwords.
- Everything is backed up around the clock, and backups cannot be quietly deleted.
- Every action is on the record. When our own staff access your machine, that access is recorded too.
The commercial shape.
- A one-off build, then a flat monthly with everything in: hosting, care, coaching and the AI running costs. No separate AI subscription to buy, and the number doesn’t move in a busy month.
- Every figure is in Australian dollars, GST stated.
- Monthly items are cancellable with 30 days’ notice.
- A payment plan is available on the build.
- The current numbers are published at zerotoclaw.ai/pricing. Your quote carries your price, in writing, before anything is signed.

Book the walk-through together
The next step is a walk-through: a short call with a real person from our team. We look at how leads reach your office today, and you watch an email become a job card on a ServiceM8 or Simpro screen. No prep, no documents, no decisions on the call.
Bring the owner, or hand them this page and pick a time that suits you both. One call together beats three rounds of passing messages.
